Managing multiple Google accounts can feel like Google overload, but you can navigate your accounts with ease!
Congratulations! As a Virtual Assistant, we celebrate every new client. It is a great accomplishment. However, having another new client, means accessing another Google account. Managing Google suite drives, emails, calendars, Google voice, sheets, and more — not to mention the Zoom multiple Zoom accounts, Dropbox logins and social media sites — can get messy and overwhelming, but you can efficiently manage multiple Google accounts while building your client base.
Efficiently Managing Google Accounts for Multiple Clients
A virtual assistant (VA) markets a vast skillset that often includes Google suite management for optimal client support. VA skillsets evolve and are often more current in the administrative assistant industry (view this example of skillsets that include Google suite products) due to multi-client exposure and on-trend projects. A new client means access to the client’s social media, communication and workspace accounts — that usually includes Google suites. The need to access a client’s Google docs, sheets, email, and accounts with a Google login is eminent, and that’s just for one client. VAs have multiple clients and are on-call to access those accounts every day. While managing multiple Google Suite tools can feel like Google overload, understanding the processes for switching between accounts can improve efficiency.

The first action is to log into your own Google account and then start working through all requested logins and requests (sometimes with two-factor authentication) for your client accounts. Google has clear instructions for logging into their accounts through support articles and customer service resources. Once logged into any Google accounts’ selected workspace (i.e., gmail, sheets, drive), you can access the corresponding Google suite workspace options by clicking on the grid to the left of the account-holders icon in the upper right-hand corner of the account page (see image).

Great! Your account is set and you know how to access any Google suite product to get your work done. Now let’s manage your other accounts. Viewing the image below, right click on the account image in the upper right-hand corner of the Google account page, email page or any workspace element you are working in, and a drop down list of active Google accounts will be available.

Select your desired active account or click on the plus sign to add another account, proceeding with Google login in using the designated Google id and password for the account.
To manage multiple Google accounts, you only need to have one of the accounts open in a browser tab and toggle between each account as needed. While working with multiple client accounts, new browser tabs may start accruing. Be sure to “pin” one to your browser bar. The additional browser windows can be closed as needed by right clicking on the open tab and selecting “close tab” in the drop down option.
Additional Google access organization tips:
- Setting browser bookmarks and naming a favorites folder will help east of access.
- Searching history under the browser’s three-dot stack in the upper right-hand corner of your browser page (i.e., Safari, Chrome) can be a quick option if you have not cleared your browser recently.
- Keeping a second window open for each client account. If you choose to keep multiple account tabs open for work efficiency.
Managing multiple Google accounts is easiest when login information is kept in a password management program like LastPass (not sponsored) as a great example of time-tested secure password management.
Once logged into accounts, you can toggle between the account with just one browser window tab for each workspace element in use (i.e., Gmail, Doc, Sheet, etc.) or by opening a separate window for each client account. Be sure to “pin” the tabs you use most often. When multiple account tabs have been opened and you are working between clients at any given time, organizing pinned tabs on one browser window makes selecting the correct client’s email or task workspace with east. Just click and drag each tab into the order desired. This makes it easy to select a set of tabs and label as “favorites” for even more efficiency and set up if your computer shuts down!
